Packing Services Structure and Quality
Management
The
Manager for International Personal and Corporate Relocation,
Export packing, Shipping and Storage Services, known
as the Client Liaison Officer, is Ms. Lydia Kunihira
(0752 766 838). The Quality Controller/Training Supervisor
is Mrs. Alexandra Beuthin (0772 766 838). The Office
Administrator is Cissy Namubiru (0772 766 836). The
packing Team Leaders or Supervisors are Mr. Emmy Kilega
(0772 766 839), Mr. Joe Kinyera (0782 145 469) and Mr.
Pastore Ochana (0774 383 233). Any shipper can contact
the above mentioned with regard to any pack-ups and
deliveries. Mr. Eric Beuthin (0772 791 773) is the CEO
and is always available to liaise with the teams.
Ms Kunihira and Mrs. Beuthin alternate as estimator
for on site pre-shipment surveys of household effects
and they evaluate and provide in writing, calculations
of volume, weight, and work to be undertaken per job.
Ms Kunihira is directly responsible for packing, inventory,
crating, weighing, marking, customer relations and any
special handling.
Mr. Geoffrey Gingo (0752 766 839) the Warehouse Manager
is responsible for the control, maintenance, and inventory
of all packing materials, tools, and general machinery.
The packing materials used for every move are tracked
and reported to Mrs. Beuthin. Purchase, orders and requests
for services are made through Ms. Kunihira. Mr. Gingo
is also responsible for maintenance, supervision and
management of the warehouse.
Vehicle maintenance is the direct responsibility of
the drivers and is reviewed by Mr. Shemmy Senkatuka
(0772 506 460) and Mrs. Beuthin. The drivers report
to the office on a weekly basis. All drivers have a
valid heavy goods license and are fully cognizant of
the local laws and customs. They are also responsible
to ensure they have all the required permits.
Mr. Beuthin maintains regular spot checks and answers
any queries not directly related to surveys, or packing.
He is also responsible for international and local requests
for bids and rate requests, as well as liaison with
international affiliated agents. All contracts, pre-movement
organization are directed and approved through his office.
All transport, customs, or clearing related queries
for inbound and outbound surface shipments are directed
to Mr. Peter Oburu (0772 766 837). All customs or clearing
related queries for inbound and outbound air shipments
are directed to Mrs. Connie Nayiga (0752 766 837).
All queries related to the forwarding of air and surface
shipments are directed to the shipping clerk, Ms. Resty
Musoke. Ms Musoke is in constant communication with
the shipping lines and the airline companies for all
inbound and outbound shipments.
Ms Kunihira is also our Sales Person and is responsible
for sales and public relations. She prepares and manages
our brochures, promotions, advertising, and sponsorship.
She is also tasked to meet a monthly quota of direct
sales calls to regular and potential clients. She reports
directly to the managing director on a weekly basis.
The packing teams provide all equipment and materials
for packing: book cartons, dishpacks, barrels, wardrobes,
picture boxes, cases, padding, waterproofing, crates
of grade dry lumber, mothproofing, packing paper and
tissue, polythene lining, and steel banding. They also
ensure that during work in progress, tarpaulin, drop
cloth or canvas will protect the floors and work surfaces.
All of our Team Leaders can speak, read and write fluent
English and Swahili as well as their native Ugandan
languages. Each Team Leader has over four years experience
and has impeccable work skills and a proven track record
with-in the company.
Our entire packing staff has been provided with Worldwide
Movers Uniforms, which consist of forest green polo
neck T-shirts and forest green short sleeve work shirts,
khaki trousers, and work boots. All T-shirts and shirts
are emblazoned with the Worldwide Movers title and green
lioness logo. The work shirts are also embroidered with
each packer's name. Each packer is also issued with
a marker pen, a Stanley knife and WWM photo identifying
credentials. Company policy requires each individual
to turn out in clean, neat uniform.
During
pack-ups, every packing team prepares an itemized inventory
for each shipment as detailed in the contract. All items
are detailed on the inventory and then checked and signed
by both the packing supervisor and the shipper. Every
packing team takes the greatest care in handling and
packing, weighing and itemizing all household effects
within each consignment. The packed items are then carefully
loaded and stuffed directly into inspected and seaworthy
containers or into prepared liftvans or airfreight crates.
We also strive to accommodate packing as defined and
set out in our various Industry Contracts and Conditions.
During deliveries, the goods are conscientiously unloaded.
Every member of the delivery team meticulously cross
checks every item delivered against the provided inventory,
and reports any missing items or damages. The household
goods are unwrapped, unpacked, set up and positioned.
Any damages or short counts are noted on the delivery
receipt. The consignee and the delivery supervisor both
sign the delivery receipt; all inventory pages, and
the service evaluation. The packing debris is removed
at the time of delivery or at a date requested by the
customer.
We can provide teams for local deliveries and packing
anywhere in Uganda. Our teams endeavour to protect all
shipments and cargo from physical damage while in transit.
Our scale adheres to the standards department of Weights
and Measures, Uganda Bureau of Standards. The scale
has a capacity range from 0 to 3000 kg. The accuracy
is periodically updated and rectified, and certified
by the Uganda National Bureau of Standards.
All our staff is briefed and educated on the environmental
impact of our work. They are trained to be, and strive
to be, diligent and caring of their surroundings. We
encourage the re-use of quality second hand packing
materials wherever possible, and we discourage the wastage
of our resources. Our packing cartons are in standard
brown craft colour and we encourage the recycling of
old materials. We have specially marked cartons in the
office for the disposal of recyclable materials. Scrap
paper in the office is shredded and reused as padding
for fragile items. The office staff has their own mugs
and cups for their hot beverages. They also have re-usable
permanent plastic glasses for cold beverages. This reduces
waste and cost of disposable containers.
Recruitment of personnel is on going and all staff
members are instructed to be observant of potential
candidates. When a new position becomes available, a
suitable replacement is sought from within the company.
Then feelers are put through our local network. If no
qualified candidates respond, an advert is placed in
the local papers. The applicant's experience is examined
and a thorough background check is performed. Finally
two, possibly more, interviews are held with different
and pertinent members of our staff. A successful candidate
is hired on a three months trial basis.
Training and education is continuous and largely on
site. We have regular training sessions with the packing
staff. Experienced supervisors from our various offices
in Africa visit our office in Uganda and exchange views
and methods, and vice versa. These supervisors train
individuals on the various techniques used for general
packing and specialist packing such as jet-pack, glassware,
or over sized items. Whenever possible a training session
is organized during the visit of a foreign supervisor.
Supervisors also provide regular training sessions on
etiquette, filling of forms, general supervision, and
loading and stuffing of containers.
The supervisors' work in tandem with the warehouse
manager, the carpenters, and the operations team, so
that all training is eventually aimed at the same out
come. This is especially beneficial in bringing separate
inter company groups together for discussions and sharing
of ideas that would normally not take place.
Visiting lecturers from our HQ provide seminars and
discussions on leadership, marketing and sales. The
FIDI training manual and video are also used. Contemporary
trade manuals and magazines are available to staff to
learn up-to-date methods and practices. Management encourages
extracurricular courses in customs clearance, computer
software, and general education.
Personnel are continuously graded on their competence,
quality and attitude. Management and staff meetings
are held on a weekly basis, where self-evaluation, productiveness,
and general performance are discussed. All personnel
meet with their superior to discuss their progress every
six months. An individual yearly meeting is held to
review each employee's strengths, weaknesses, and value
to the company.
All our facilities are regularly maintained. The Kampala
City Council inspects and licenses all structures, especially
in the Industrial Estates. The staff is assigned the
responsibility of taking care of and respecting their
work environment. Regular walkthrough tours are made
to inspect goods in store and the condition of the warehouse.
The roof is carefully inspected after every heavy rainfall
to look for any leakage. The liftvans and wooden items
are constantly checked and sprayed for termites and
other wood-burrowing creatures. Walls are checked for
moss or rot due to humidity.
